The team fee tracker
A spreadsheet that tracks every team, competition and meet fee for every athlete, payment plans included, and adds it all up into one balance per family. It’s what we’d use if we were running a gym’s team money on spreadsheets today.
- FeesOne row per athlete, per fee: uniform, bows, choreography, each comp or meet entry, memberships, travel, camps. Amount, first due date, number of payments and months between them. Per-payment amount, final due date, next due date, balance and status fill themselves in.
- PaymentsLog each payment against a fee ID: date, amount, method (Venmo, check, cash, card). The Fees tab totals them, so “paid so far” is never typed twice.
- Team cost splitterChoreographer $3,600 for 24 athletes? Type the cost, the roster size and how much the gym covers. It works out each athlete’s share and the cents left over from rounding.
- Family balanceOne line per family: total fees, paid, balance, how much is overdue and the next due date. A cheerleader and a gymnast in one family roll up into one number.
- ListsThe fee types and payment methods behind the dropdowns. Add your own, like “Worlds hotel” or “Team jacket”.
Comes with sample rows (two families, three athletes across cheer and gymnastics) so you can see the formulas work. Delete them and add your own. The XLSX opens in Excel, Numbers and Google Sheets (File → Import). There’s also a one-tab CSV for a quick start in Google Sheets.

When the spreadsheet gets too big
A tracker works for one team and one parent volunteer. Once you have eight teams, siblings across cheer and gym, payment plans on every uniform and a dozen events a season, it turns into a part-time job. That’s what Mat Dues is for: the same idea, with family balances, payment plans and autopay built in.
